Event planning is a complicated and responsible task. Follow these steps closely to make sure that your company’s event will reach all of its goals.
1. Decide upon the form of the event and its main theme
Whatever the type of event is — training, brainstorming, team building — there needs to be a theme uniting everything into one. And it will define every aspect of your event planning. If you invite clients – impress them by inviting an industry expert as a guest speaker. Or, if you’re looking to create an opportunity to network with guests, you can incorporate a pre-cocktail hour where people can socialize.
2. Create an extensive to-do list
Create a master list of everything that needs to be done before the event happens. Include the deadline for when these tasks must be completed. Make notes of who, if anyone, tasks have been delegated to. Follow up on tasks and make sure that everyone is taking responsibility for his assigned duties. One week before and one day before go through the list and double check to make sure that everything has been done.
3. Measure the budget
It is virtually impossible to count every item. But you need to come up with an approximate number that will be spent on food, lodging, hall rental, entertainment and other major parts of the event.
4. Fine the venue
As you are already at BESPACED page, you don’t need to worry about the location, as we provide an outstanding choice of unique spaces in town. Such aspects as catering, furniture, equipment etc. should be taken in consideration: you can find the location already providing it and save your time and resources.
5. Arrange the aesthetics
Colors, light, music play a crucial role in your event success. According to the studies of the University of Toronto and Northwestern University, bright light intensifies people’s emotional reaction to different kinds of stimulus. At a corporate party the venue must be as bright as possible. Proper lighting also allows to take quality photos and make videos that will forever remain in the archives and social media and help to last the effect of the event for as long as possible.
6. Enjoy the event – and don’t forget to thank the guests when it’s over!
